The terms for using CertKeeper

CertKeeper is provided by Sweet Cat Software LLC ("we", "us"). By creating an account or using CertKeeper you agree to these terms on behalf of yourself and the organization you represent ("you"). If you do not agree, do not use the service.

1. The service

CertKeeper is a web application for tracking employee certifications, licenses, and credentials, sending expiration reminders, and producing compliance reports. We may add, change, or remove features over time. We will give reasonable notice of changes that materially reduce what the service does.

2. Accounts

You must provide accurate account information and keep your password confidential. You are responsible for everything done under your organization's account, including by users you invite. Tell us promptly at hello@certkeeper.co if you believe your account has been accessed without authorization. You must be at least 18 and able to enter a binding agreement for your organization.

3. Your data and your employees' data

The employee names, contact details, certification records, and documents you enter belong to your organization. You grant us permission to store, process, and transmit that data only as needed to provide the service to you. You are responsible for having the right to enter your employees' information into CertKeeper and for telling them how it is used, including that reminders may be sent to them by email if you enable that setting. We do not sell your data and do not use it for advertising. You can export all of your organization's data from Settings at any time, and you can ask us to delete it.

4. Acceptable use

Do not use CertKeeper to store data you are not entitled to store, to send unsolicited messages, to probe or interfere with the service or other customers, or to violate any law. Do not resell access to the service or attempt to copy it. We may suspend an account that violates these rules, and we will tell you why.

5. Trial, plans, and billing

New organizations get a 14-day free trial with every feature and no payment method required. After the trial, continued use requires a paid plan. Plans are priced by employee count and billed monthly or annually in advance through Stripe. Prices are shown at certkeeper.co and inside the app before you subscribe. You can change or cancel your plan at any time from Settings; cancellation takes effect at the end of the current billing period, and you keep access until then. [Decision for review: fees for the current period are not refunded, except where the law requires it.] We may change prices with at least 30 days' notice; changes apply from your next billing period.

6. Reminders are a tool, not a guarantee

CertKeeper sends reminders based on the dates your organization enters. It does not verify certifications with issuing bodies, and it cannot know about a requirement you have not entered. You remain responsible for your organization's compliance, for the accuracy of the dates in your account, and for acting on reminders. Email delivery depends on systems we do not control.

7. Availability and support

We work to keep CertKeeper available and will schedule maintenance outside normal business hours where we can, but we do not promise uninterrupted service. Support is by email at hello@certkeeper.co.

8. Ending the agreement

You can close your account at any time. We may suspend or end your account for a material breach of these terms, or after a subscription has lapsed without payment, and we will make reasonable efforts to notify you first. After an account is closed we retain data only as long as needed to complete the closure, resolve disputes, and meet legal obligations, and then delete it.

9. Ownership

CertKeeper, including its software, design, and the certification type library, is owned by Sweet Cat Software LLC. These terms do not transfer any of that to you. Feedback you send us can be used to improve the service without obligation to you.

10. Disclaimer and limitation of liability

CertKeeper is provided "as is". To the fullest extent the law allows, we disclaim all warranties, including fitness for a particular purpose, and we are not liable for indirect, incidental, or consequential damages, including lost profits, fines, or penalties arising from a lapsed certification. Our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim. Some jurisdictions do not allow these limits, in which case they apply only as far as permitted.

11. Changes to these terms

We may update these terms. For material changes we will email the organization's owner at least 14 days before they take effect. Continuing to use the service after that date means you accept the updated terms.

12. Governing law and contact
