The problem

The state surveyor asks for training records. The aide is at a client's house.

Home health credentials are many and staggered: CPR every two years, TB screening annually, certifications and clearances on state cycles, dementia and in-service training on top. Files live in an office the aides rarely visit, and a survey deficiency for a lapsed record is avoidable and expensive.

What the rules require

Medicare-certified home health agencies work under 42 CFR 484.80. A home health aide must complete at least 75 hours of training and pass a competency evaluation, must receive at least 12 hours of in-service training in each 12-month period, and must complete another training program after 24 consecutive months without furnishing services, so an aide returning from a long absence is not automatically cleared to work. State surveyors check the in-service hours aide by aide, and the 12-month period runs per aide, not per calendar year.

Around that sit the staggered cycles. CPR cards are issued for two years. TB screening runs on state rules and agency policy, commonly annual. Aide certifications and registry listings renew on cycles set by each state, and background checks are repeated on the state's schedule. Dementia and other specialty training may be a one-time or a recurring requirement depending on the state and the client population. An agency with three branches and sixty aides has several hundred dates in play at once, and no two aides share a schedule.

The practical problem is that the aides are never in the office. Files sit at the branch, aides work in clients' homes, and a survey deficiency for a lapsed record is both avoidable and expensive. Before you start

Can aides get reminders on their own email?
Yes. Reminders to employees are a setting you turn on for the agency. Each aide then gets the same countdown emails the office does.
Do you store the certificates themselves?
Yes. Attach the card or certificate to the record. Renewals keep the previous version in the history, so you can always show what was valid and when.
